President (avg. monthly time commitment = 12 hours):

-- Coordinates the work of the officers and committees of this PTA/PTSA in order that the purposes may be promoted;
-- Is a member ex officio of all committees except the nominating committee;
-- Reviews bank statements monthly, and signs and dates; 
-- Presides at all PTA meetings and Board meetings, and draft agendas for the meetings;
-- Chairs annual PTA budget meeting;
-- With help from the Board and the Volunteer Coordinator, coordinates the work of the officers and committees;
-- Signs PTA checks;
-- Reserves rooms for events through ICB;
-- Attends Clarksburg/Damascus cluster meetings (3-4 meetings a school year), or assign attendance to another Board member;
-- Represents the PTA at the Kindergarten Back-to-School Night and at the Cedar Grove Open House.

Vice President (2 vacancies): (avg. monthly time commitment = 5 hours):

In their designated order, act as aides to the President, each Vice President is in charge of different aspects of the PTA responsponsibilities.

-- Performs the duties of the President in the absence or inability of the President to serve

-- Membership drive and directory

-- Manages memberships including collecting payments, holding drives and update PTA directory

-- Organizes beginning of the year Welcome Picnic and end of year celebration

-- Manages two annual fundraisers

-- Assists Chairs of standing committees in the absence or inability of the Chair to manage their committee

I would like to nominate (myself or someone else): 

Secretary (avg. monthly time commitment = 4 hours):

-- Records the minutes of all PTA and Board meetings; edits the minutes and submits them for approval by the PTA membership;

-- Has a current copy of the PTA By-laws and makes sure it is available at all meetings;

-- Renews by-laws (renewal is due every 3 years);

-- Writes ‘Thank You’ notes after PTA events;

-- Maintains a current membership list.

I would like to nominate (myself or someone else): 

 Treasurer (avg. monthly time commitment = 6 hours):

-- Has custody of all the PTA funds;

-- Keeps a full and accurate account of receipts and expenditures, including reconciliation of the bank statements each month;

-- Makes disbursements, as authorized by the President of the PTA, in accordance with the budget adopted by the PTA;

-- Has checks or vouchers signed by two people, the treasurer and one other authorized officer;

-- Reviews, signs, and dates bank statements monthly, obtaining review, signature, and date from the president and one member of the board of directors who is not a signatory on the account(s);

-- Presents a financial statement at every monthly meeting of the general membership;

-- Makes a final report before the newly elected officers officially assume their duties;

-- Prepares and files all necessary tax forms, submitting a copy to Free State PTA within thirty (30) days of filing;

--- Presents an annual report of the financial condition of the PTA to the membership;

-- Submits a proposed annual budget to the board of directors and general membership for approval;

-- Has the account(s) examined, at the close of the fiscal year and upon change of treasurer, by an auditor or a financial review committee of not less than three (3) persons who, satisfied that the treasurer’s report is correct, shall sign a statement of that fact at the end of their report. An auditor or a financial review committee shall be selected by the board of directors at least thirty (30) days before the new officers assume their duties;

-- Receives all monies from PTA events and deposits funds in a timely manner.

-- Reports the findings of the annual financial review to the board of directors and submit a copy to Free
State PTA within the timeframe specified by the Local Standards of Affiliation.

 The following position is NOT AN ELECTED position, and will not be on the election ballot. It is an appointed position.

The MCCPTA delegate is the voice of the PTA and represents Cedar Grove ES at the county PTA level. Meetings are held on 4th Tuesdays at the Carver Education Center in Rockville. The delegate(s) is responsible for reporting back to the PTA at monthly PTA meetings and/or through the newsletter. By participating in the Delegates’ Assemblies and our local PTA meetings, this role acts as a link between the MCCPTA, and our local PTA.

The role entails sharing information about what is happening across the school system with the members of our PTA, and bringing the perspective of our PTA members to the discussions at the county level. This role offers the privileges of introducing motions, debating and voting at the monthly Delegates’ Assemblies.

The expected monthly commitment is approximately 2 hours (one meeting a month).
